What we expect

Office Management:

  • Receiving and archiving incoming invoices and forwarding them for posting
  • Assisting with HR tasks – implementing internal policies, onboarding new employees, maintaining records (annual leave, sick leave, etc.)
  • Communication with leasing companies and insurance providers
  • Maintaining records and administration of the company vehicle fleet
  • Managing office inventory, equipment, and supplies
  • Acting as the contact person for external accounting and payroll processing
  • Organizing office operations and ensuring efficient daily workflow
  • Ensuring confidentiality and security of office and personnel data
  • Acting as the contact person for IT – communication with central IT department and local IT support provider
  • Participating in the organization of internal events and supporting management
  • Coordinating cooperation with suppliers, service providers, and landlord

 

Sales & Service Support:

  • Assist the Service Sales team with order processing, documentation, and quote preparation
  • Support tracking of open quotations, orders, and delivery timelines
  • Coordinate with internal departments to ensure timely follow-up and customer satisfaction
  • Maintain and update customer data in CRM or sales systems
  • Prepare simple sales reports and summaries for internal use

Who we are looking for

  • Minimum 3 years of experience in a similar role
  • Strong organizational and communication skills
  • Good command of English, both spoken and written
  • Independent, proactive, and flexible work approach
  • Good computer skills, including MS Office package
  • Basic knowledge of accounting and HR processes is desirable
