TK Elevator is currently seeking an experienced Order Fulfillment & Escalation Coordinator in Germantown, TN.
Responsible for supporting order management, customer service escalations, and project coordination across all lines of business. This position plays a key role in ensuring accurate order processing, production readiness, and issue resolution, while driving alignment between Engineering, Manufacturing, Supply Chain, and Field Operations.
The Coordinator serves as a liaison between internal functions and external stakeholders, helping to remove roadblocks, prioritize critical orders, and deliver high-quality service in a fast-paced environment. This role requires strong organizational skills, attention to detail, and the ability to lead through influence. It reports directly to a departmental manager.
ESSENTIAL JOB FUNCTIONS:
- Serve as a subject matter expert (SME) across multiple departments, providing
operational guidance and system knowledge to ensure consistent execution of
business processes within Order Management & Fulfillment. - Serve as the primary point of contact for customer service reqeusts, coordinating resolution efforts across departments and ensuring timely, professional communication with stakeholders.
- Collaborate with teams in Engineering, Manufacturing, Planning, and Logistics to
align on production priorities, capacity planning, and delivery schedules. - Monitor critical orders and escalated cases across multiple lines of business; identify risks, track progress, and implement corrective actions as needed.
- Lead escalation and coordination meetings with both internal teams and external customers to address project challenges and maintain alignment.
- Maintain accurate and up-to-date tracking records for critical orders, including
timelines, notes, material status, and project milestones. - Partner with Supply Chain and Procurement to expedite high-priority material and component deliveries.
- Support business continuity by helping to stabilize critical order flow during supply chain constraints or production disruptions.
- Update and maintain order data in key systems such as COPICS, Barcode, and factory planning tools to reflect real-time changes and ensure production readiness.
- Release jobs to manufacturing and deliver complete, accurate job packets to the shop floor; track completion status and coordinate changes as needed.
- Investigate and resolve issues related to callbacks, missing documentation, or delayed material impacting order fulfillment.
- Review and analyze documentation for use in the preparation of
- Modernization (MOD) & Components submittal data including quoted prices,
architectural drawings, and surveys. - Review and make necessary changes to quoted prices based on customer driven
changes to ensure accuracy and completeness of data presented for submittal
drawings. - Coordinate and manage complex Components and MOD projects from order entry through release, ensuring alignment with technical specifications, architectural drawings, and quoted pricing.
- Adjust schedules and communicate updates to stakeholders across multiple
production facilities and the Customer Service Center. - Provide mentorship and on-the-job training for junior coordinators; serve as a lead for best practices and knowledge sharing.
- Ability to resolve conflicts and make decisions in absence of direct
supervisor. - Recommend and implement continuous improvement initiatives to enhance order accuracy, service responsiveness, and cross-functional communication.
Who we are looking for
EDUCATION & EXPERIENCE:
- High School Diploma required.
- Associate’s or Bachelor’s degree in Business, Engineering, or related field preferred.
- Minimum 3–5 years of experience in production scheduling, project coordination, or a related field.
- Strong knowledge of manufacturing systems (COPICS, Barcode) and project
management tools. - Excellent organizational, communication, and problem-solving skills.
- Ability to read and interpret technical drawings and specifications.
- Proven ability to lead teams and train peers in technical processes and procedures.
- Adaptability and ability to prioritize and manage multiple responsibilities in a dynamic environment.
- Minimum of three or more years' experience in a manufacturing or warehouse
environment required. - Minimum of three or more years' experience working with integrated computer
programs, applications and database experience required.
