What we expect
Office Management:
- Receiving and archiving incoming invoices and forwarding them for posting
- Assisting with HR tasks – implementing internal policies, onboarding new employees, maintaining records (annual leave, sick leave, etc.)
- Communication with leasing companies and insurance providers
- Maintaining records and administration of the company vehicle fleet
- Managing office inventory, equipment, and supplies
- Acting as the contact person for external accounting and payroll processing
- Organizing office operations and ensuring efficient daily workflow
- Ensuring confidentiality and security of office and personnel data
- Acting as the contact person for IT – communication with central IT department and local IT support provider
- Participating in the organization of internal events and supporting management
- Coordinating cooperation with suppliers, service providers, and landlord
Sales & Service Support:
- Assist the Service Sales team with order processing, documentation, and quote preparation
- Support tracking of open quotations, orders, and delivery timelines
- Coordinate with internal departments to ensure timely follow-up and customer satisfaction
- Maintain and update customer data in CRM or sales systems
- Prepare simple sales reports and summaries for internal use
Who we are looking for
- Minimum 3 years of experience in a similar role
- Strong organizational and communication skills
- Good command of English, both spoken and written
- Independent, proactive, and flexible work approach
- Good computer skills, including MS Office package
- Basic knowledge of accounting and HR processes is desirable
